Preparing for Symposium
Spring Symposium: You can choose from poster, oral, or exhibit
Summer Symposium: Only poster presentations are permitted

No, we do not have the space nor the ability to run electricity to the poster locations. Posters stands are set up with just a small area between posters. There are no tables or stands to set a laptop or display of any kind. If this is critical to your presentation, you may want to consider requesting exhibit space.
Spring Symposium: When registering to present you will be able to select your preferred session so long as space is still available. You will receive a confirmation email with your final presentation time.
Summer Symposium: Because the Summer Symposium is a celebration of summer research programs, presenters are expected to attend the entire program. Therefore, students are randomly assigned poster numbers after the close of registration. Odd numbered presentations will take place in one session with even numbered presentations in the session immediately following. You will not be able to select your poster number/session. You will receive a confirmation email with your final presentation time.
After registration closes, you will receive a confirmation email with your final presentation time.
“Day of” Logistics
We encourage all presenters to dress in business or business casual attire.
Symposium is held in the Talley Student Union Ballroom on the 3rd floor
A registration table will be outside the entrance to the symposium. Check in here to pick up:
- Your name tag
- Your poster number assignment
- A symposium abstract book
Mentors and guests do NOT need to come to the registration table.
Spring Symposium: You may begin setting up your poster presentation up to 30 minutes before the official start time of the session to which you are assigned. Please arrive no later than 15 minutes before the session start time. The boards will already be numbered and you will find you assigned numbered board.
Summer Symposium: ALL presenters should check in at the registration table 30-45 minutes before the official start time of the symposium. Odd numbered posters will set up first. Even numbered posters will set up 10-15 minutes before the start of the second session. The boards will already be numbered with an odd and an even number, and you will find you assigned numbered board.
At the end of Symposium, we expect presenters to assist with the following:
- Take down your poster
- Remove the push pins, placing them in the provided baggy
- Remove the board and place in designated stacks
- Disassemble the stand and place in designated stacks
There will be light refreshments served such as iced tea, ice water, and cookies. If you are presenting in the afternoon, please plan on eating lunch prior to the session.
You will need to have your poster already formatted to the correct size in a PDF format (the brand templates will already be in the correct size and just need to be converted to PDF). When you have your file ready, use the link provided after registration closes to upload your poster for printing. You will upload your poster and pick up in Patterson Hall, Monday-Friday in the afternoon. Cut off for next day pick up is 2:59pm the day of upload.
You will need to have your poster uploaded no later than noon on the Friday prior to Symposium. There are a finite number of uploads per day (150 max), and if you wait until the last minute you may not be able to get a poster printing spot.
You will need to have your poster printed at your expense. The OUR will not cover printing outside of the appointments we make available through the registration process. We suggest checking with Wolf Express or the NC State Libraries for printing services as they tend to be less expensive than Staples or Fed/Ex Kinko’s.
